At Utah Foster Care, we work to develop innovative strategies to help find, educate, and support Utah foster families. The Departmental Administrative Specialist (DAS) reports to the CEO and serves as the eyes and ears of the Murray office, and is responsible for greeting and directing visitors, answering phone inquiries, managing mail and emails, ordering supplies, and coordinating maintenance. The DAS works closely with the Development team, supporting them by entering donor data and processing donations. This role also offers administrative assistance to the statewide Support, Education, Retention, and Recruitment teams.
The ideal candidate should have experience working in an office environment, performing administrative tasks, and providing support to coworkers. They should be able to efficiently switch between tasks while maintaining the ability to prioritize them as needed. Proficiency with Microsoft Office Suite, Neon One CRM, QuickBooks, and Adobe Acrobat XI Pro software is preferred.
Responsibilities
- Provide front-desk coverage by managing a multiline phone system, greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment
- Board Liaison: ensures effective communication, coordination, and support for all board-related activities
- Office Security: Manage entry doors, lighting, and emergency procedures.
- Phone Calls: Handle voicemail, answer multiple lines, direct calls, and provide information.
- Murray Office Lobby Management: Greet visitors, monitor access, and distribute items.
- Mail & Emails: Manage postage, sort and distribute mail, and handle special mailings.
- Order and maintain office supplies and coordinate maintenance.
- Development: Enter donor data, process donations, and generate reports.
- Education & Retention: Assist with training manual assembly, receive donations, and manage gift cards.
- General Support: Assist with correspondence, provide tutorials, and other duties as assigned.
- Software & Tools: Microsoft Suite, Neon One CRM, QuickBooks, Adobe Acrobat XI Pro
Required skills and qualifications
- High school diploma or equivalent
- Proven administrative experience
- Superb written and verbal communication skills
- Comfortable handling confidential information
- Strong time-management skills and task-switching ability
- Aptitude for learning new software and systems
Preferred skills and qualifications
- College degree or equivalent
- Previous success in an office environment
- Experience managing filing
